Outdoor conditions can change the usability of a site even when the original map stays the same. Rain may soften grass, runoff may collect near a low point, heat may increase the need for shade and water, and cold weather may change how guests and crews approach the area. Plan for the conditions the site may actually face.
Start with drainage and surface
Walk the proposed route after ordinary wet weather if possible. Look for tire ruts, puddles, soft shoulders, slopes, and areas where a vehicle could lose traction or damage the property.
Plan for seasonal event patterns
Spring and fall gatherings may involve wet lawns and changing temperatures. Summer events may need shade, water, and a route that does not become uncomfortable in direct sun. Winter work may require attention to snow, ice, lighting, and access.
Protect the route as the site evolves
Temporary flooring, mats, gravel, fencing, and lighting may help, but they should be evaluated with the venue or site supervisor.
Make a contingency conversation early
Ask the rental provider what information it needs if the planned placement becomes inaccessible and who decides whether a location can be changed.
